    How to Make a Letter?

    Writings   /   by admin   /   July 04, 2021

Here is a step-by-step guide to writing a letter in less than 10 minutes.

Our world is changing at a dizzying rate. The industrial society that was created from the eighteenth century has given way in the last decade of the twentieth century to the society of the information, and in our 21st century, instantaneous communication of what is happening around the world characterizes our societies.

The creation of e-mail, instant message and twitter are means that keep us practically in a constant and personal dialogue with anyone in any part of the world.

This is putting aside the formal and formal language, taking root a close and cordial style, the one we use with any friend.

This close treatment transcends the company, in which the youth of the executives and the new forms of social and labor relationship, break the distances, and in all relationships the "You" is left aside, favoring a dialogue between equals, between peers who pursue a goal common

If we add to this that in our school stages we were taught very little or nothing about how to write a letter, or in the best of cases, they teach us rigid and somewhat backward models, we find that writing a letter is a problem, since we do not always know what and how to write.

To successfully write a letter, we must be very clear, concise and brief, making it clear who is writing and to whom we are addressing, what we want to say and why. For this, our letter must answer the following questions: Who? Where? When? What? How?

    1. First Block: Header

The first Block of our letter must contain the elements of Who writes and to whom it is addressed, sender and recipient, as well as the place and date it is written.

The first WHO is the one who sends it. This should be arranged in right alignment in the body of our letter; There we will indicate the name of our company (if required) our name, position (if we have), and our contact information: address, telephone number or email, where we can be reached.

Immediately comes the WHEN and WHERE, place and date we issue our letter:

Second WHO: The addressee, the person to whom we are addressing. Here you must include, if necessary, the company or agency to which it belongs, and the name of the recipient and, where appropriate, his position; If you are addressing a specific person who is part of a department or office, we must indicate that we require their attention.

    2. Second Block: Body

In the second block of our letter, we will explain the WHAT and the HOW, that is, the reason why we are addressing the recipient, and the observations to achieve what we want.

We will begin with an INTRODUCTION PARAGRAPH, in which we will explain very concisely what our letter is about, with a respectful treatment, neither too formal, nor too close. We will avoid starting with outdated formalities such as "I am addressing you ...", "Addressing the illustrious person of him ..." or surroundings such as "hey, I sent you this letter ..."

I am sending you this letter to make the following clarifications about the printing of the book "The answers that raise questions":

Then we will explain the WHAT, that is, the subject of our letter and of which we made an advance in the introduction and the HOW, in case an observation or complementary material is required. We will use the paragraphs that are necessary, but trying to write properly and concisely, remembering that others have other things to do, besides reading us.

I am sending you this on the printing of the book “Answers That Raise Questions” to make the following observations:

By instructions of the author, the cover of the edition will be changed.

For this, the graphic design department will send you a file with the new design.

On the other hand, as soon as it is ready, please send me a sample for approval.

    3. Third Block: Closing and farewell

It is the third and final block of our letter. A simple formula is enough, let's avoid using elaborate and out-of-use forms, such as "Your very attentive and secure server" or the like. Let's use simple expressions like "Regards", "Sincerely", etc.

Immediately afterwards, preferably with centered alignment, our name and our signature.
